Key takeaways
- Good GST ERP software prepares returns from the same transactions your team records daily — no re-keying.
- Must-haves: GSTR-1 and GSTR-3B files, GSTR-2B import and matching, e-invoice (IRP) and e-way bill data, TDS and payroll statutory files.
- A compliance calendar with reminders prevents late fees.
- Submitted documents should be locked, with changes made by cancel-and-amend and fully audited.
For Indian businesses, GST is not a module — it touches every sale, purchase and payment. When compliance lives in a separate tool, someone spends days every month exporting, cleaning and re-entering data. GST ERP software fixes that by preparing returns directly from your sales, purchase and payroll records, so the numbers you file are the numbers in your books.
What GST ERP software must cover
GSTR-1 and GSTR-3B
Your outward supplies and summary return should be generated from invoices, credit notes and debit notes already in the system, in the format the GST portal accepts. Qila prepares GSTR-1 and GSTR-3B files for the GST portal in its Indian edition.
GSTR-2B import and matching
Input tax credit depends on what your suppliers report. GSTR-2B reconciliation means importing the statement and matching it against your purchase invoices automatically, so you can chase mismatches before you claim credit.
E-invoice and e-way bill data
Businesses above the notified turnover threshold must report invoices to the Invoice Registration Portal (IRP) and obtain an IRN. Qila prepares e-invoice (IRP) and e-way bill data from your sales documents; transmission through a GSP is charged by the GSP provider directly. Check current thresholds on the official e-invoice portal.
TDS
Tax deducted at source on purchases and services needs to be calculated, paid by challan and reported. Qila handles TDS on purchases, challans and Form 26Q data.
Payroll compliance
PF ECR files, ESI files and salary TDS should come straight from payroll. Qila’s HR and payroll module produces them along with payslips and bank advice.
Compliance calendar
A compliance calendar with reminders and filing due dates keeps the whole team aware of what’s due — and who owns it.
Controls that auditors expect
- Submitted documents are locked; changes happen by cancel and amend.
- A hash-chained audit trail records who changed what, when and from which IP, with old and new values.
- Segregation-of-duties checks prevent one person from holding conflicting powers.
- Income-tax return–ready statements and depreciation schedules at year-end.
GST software vs complete ERP
| Need | Stand-alone GST tool | GST in a complete ERP |
|---|---|---|
| Source of data | Imported from books | The books themselves |
| Stock and production | Not covered | Same database |
| Approvals before posting | No | Workflows with limits |
| Payroll statutory files | Separate | Built in |
| Month-end effort | Export, clean, upload | Generate and review |
Moving from Tally or spreadsheets
Most Indian SMEs come from Tally or a mix of spreadsheets. Migration means importing ledgers, items, parties with GSTINs, and opening balances, then reconciling. A good time to switch is the start of a quarter. Read our guide: Tally alternative — when you need a complete ERP.
Pricing in context
Qila’s licences start at $35 a month for up to 5 users, with every module included — accounting, GST, inventory, manufacturing, HR and payroll. GSP and WhatsApp messaging charges are paid to those providers directly. See full pricing.
